When writing business emails, you want it to get read. A passed-over email usually means a lost opportunity – one that you may never get back again. These five types of emails are high on the chopping block that busy professionals regularly give up on without a second thought.

1. Emails that pile on the topics. When you send emails that talk about ten subjects, it’s hard to read, difficult to file and impossible to understand in one sitting. If the person receiving the email needs to attend to you, they’ll have to set aside a lot of time to go through it. Most likely, they’ll also need to clarify it one by one. If they have a choice (if you’re a supplier suggesting some new products, for instance), they’ll probably just ignore it and move on.

2. Emails with non-descriptive subjects. Good emails let the recepient know what it’s about just from reading the subject line. People usually scan through subjects to find pressing and important matter they should attend to first. If all you have on your subject is “A Few Suggestions” or “Some Ideas,” you’ll probably end up last on the priority queue.

3. Emails that consist of one long block. If you can’t be bothered to split your email into manageable paragraphs and your paragraphs into readable sentences, your email easily ranks as among the most difficult documents to read through. Even if the recipient goes through what you’ve written, there’s a good chance they’ll miss important parts. If you’re unsure how to chop up your email to read better, use an English writing software to help you out.

Even if you’re an untrained writer, you’ll likely need to compose written reports at various times during the course of your business. As such, having the basics of business writing down pat can help you immensely in your daily life. According to the book Business Writing For The Uninitiated, all forms of good business writing will have the following five things working for them.

1. Good business writing is focused.

Good business writing has a clear scope. The coverage may change depending on your recipients, but it needs to be consistent throughout the document, nonetheless.

2. Good business writing is concise.

Unlike other forms of writing where verbosity may be accepted, business writing should be all about the meat of the matter. As such, you will need to trim the fat off your copy, either with the help of an English writing software or by going through the copy on your own.

3. Good business writing packs substance.

While you may be able to get away with making claims and conclusions all day long, providing verifiable proof is necessary to complete any good business writing. To many in your audience, numbers can speak volumes louder than unfounded claims.

4. Good business writing has structure.

Make sure you follow a logical sequence in your writing. It will guide your reader through the text. Doing without one risks muddling their perceptions.

5. Good business writing is humble.

Humility is a virtue, even in writing. Preaching to an audience can work with the right kind of people. For many, though, this is a death sentence, turning off readers before they even get to the good part.

Contracts are scary things. Legally binding, they can set you up for serious trouble when you agree to them without knowing what the terms actually entail. Problem is, many contracts are written in ways that are set up to be difficult to understand and are just plain turgid.

Isn’t it time we put an end to this insanity and started writing our contracts in English that we all can understand?

For every dense and declamatory statement that you can write in a contract, there is a plain English equivalent that should be just as concise. If you’re the one tasked with drafting an agreement, why not lay it out in readable terms instead of following the footsteps of those clowns before you who wrote their contracts with little desire for actually making sense to the people signing them?

Complex legal documents, in reality, don’t have to remain complex. It’s just laziness that’s allowing them to do so. When you’re offered a contract that’s formatted in this manner, why not refuse to sign it and recommend that you’ll revise it in plain language as you understand? If any of your interpretation is wrong, you can then bring in a lawyer to ensure that it means exactly the same thing as that orotund piece of document you’ve been asked to agree to.

Like most business writing, you will need to pass it through the best English grammar software you can find to be sure you don’t corrupt any definitions by bad writing. Other than that, though, there should be no problem. Every contract can be made simpler. Fire your law firm if they refuse to do so.

When you’re taking time off from work, it’s only prudent to craft an out-of-office message to make sure your contacts both inside and outside the organization don’t waste time thinking you’re getting their communication when you’re actually not even reading it. It’s a great way to make sure both clients, suppliers and co-workers don’t get the wrong ideas when they don’t get a response for their questions or requests.

As with other forms of business writing, you want your out-of-office message to reflect the same professional tone that business documents need to be delivered in. As a general rule, make sure to follow these guidelines.

Keep it short. You’re not writing anything that’s pertinent to work-related concerns, so best be brief about it.

Length of time. Always include how long you’ll be away in your message. You don’t want a guy trying to ask you about the same subject every day, hoping you’ll be in the office each time.

Reason. Give a reason why you’re away. Whether it is a national holiday or a scheduled vacation, give them the news briefly.

Clean it up. Treat the out-of-office reply as a business document. Make sure it’s free from grammar and vocabulary errors that can paint a wrong picture of your communication skills. Run it through a grammar software if you want to be sure.

Offer alternatives. Provide alternatives to those sending you messages, such as other people in the organization they contact regarding particular issues. Don’t include an emergency number – people will end up contacting you for the most mundane things. Instead, leave your number with someone else in the office in case of real emergencies.

One does not need to be an executive office bearer to gain from writing software; it is deployed by anyone who wishes to write better, in all ways. It will lead to executive writing skills that are desired by most editors, teachers, employers, and hopefully, the writer themselves. English software contextually checks spelling. When writer’s use the common spell checkers contained on most desktops or word processor, it only catches words that are misspelled when gauged against other words. The spell checker that checks contextually catches words that may be spelled correctly, but are contextually wrong, such as ‘their’ and ‘there’.

Writing software corrects and checks for punctuation and grammar, lending business documents an air of professionalism. It also checks for errors in syntax and punctuation placement, most of which escape typical spell checkers within most word processors. English software also contain a thesaurus and a dictionary, where it is possible to toggle between various word choices for the best fit, within the context of the writing piece. This adds variety and cuts down on the over-use of certain words, as well as the assurance that these words are being used in their correct meaning and context.

Available on English checker and seldom on usual word processors is a style checker. This premium feature comes as standard feature in writing software packages, and allows the user to get corrected on style errors and mistakes, as well as suggestion of a more correct style when applied to a certain piece of writing, for instance, best style for academic writing, best style for novel writing, ideal style for business writing, and so on. Templates used in business documents, school term papers, novels, personal journal writing, and other forms of writing are available in writing software packages. Medical documents, legal documents, and resumes are enhanced through higher professional writing. This software instantly improves all kinds of business writing, enabling the sending out of error free and professional documents.

For many people, the daily work environment requires the sending out of frequent reports, emails and other forms of written communication. English software can greatly enhance the corporate standing of the user, with co workers and senior management. Those in technical fields of work must on a day to day basis send out information to colleagues, and these communications must be grammatically correct and concise as possible. Additionally, non native speakers and writers of English require English software to communicate with English speakers and writers in an understandable way.
