When writing sales materials that attempt to attract customers, the most obvious route is to describe the product. After all, at the surface level, that’s what the transaction is about. In practice, though, customers seldom buy because of a product itself. Instead, sales are typically closed by selling a solution.

People don’t just buy products – they buy the benefits that a product provides. As such, the best way to write marketing materials is always to ask, “What problems do customers have that this product will solve?”

Instead of selling an “ebook about greening your home”, you’re better off selling “30% savings in your electricity bill”.

Rather than pushing “state-of-the-art computers”, you sell the PC gaming crowd on “pre-configured machines that can play Crysis at the highest setting while you defrag in the background”.

In place of marketing “home warranties”, you sell the customers on “no-cost home repairs for the next 15 years”.

As many marketers have wisely advised over the years: “Don’t sell the steak, sell the sizzle.” People, especially during these times, will always look to hold off on buying products, unless it can solve an existing source of concern or bother.

Does your copy lean towards telling the customers what problems will disappear from their midst with your product? If it doesn’t, rewrite your pitch until it does. Read your copy aloud to make sure the ideas come through crisp and clear. If something sounds wrong and you can’t put a finger on it, run it through an English writing software to find problem points. Finesse it until it looks and sounds exactly the way that will get even you to buy.

Some people contend that achieving a high quality of writing isn’t important in communication. If the reader on the other end can “glean” what they’re trying to communicate, then the writing is effective enough.

In my mind, that type of thinking is destructive for two reasons.

1. “Gleaning” is not the same thing as understanding. While one may get a general idea of what you’re trying to say, writing errors usually prevent a complete understanding of what’s being said. As most of us, even the littlest variance in the details can lead to serious conflicts down the line.

2. Tolerating poor communication (especially within a large organization) lowers your general standards. While this may start off innocently enough, it can degenerate into serious quality issues well into the future.

There are two general types of errors in writing, each one bringing its own set of problems in your overall communication.

1. Grammatical errors. These mistakes are largely avoidable, easily remedied by a proofreader or English writing software. Left to remain in your documents and communication, it paints a bad image of both you and the organization you represent. Allowing preventable flaws simply tell the person on the other end that you either don’t care enough or that you lack the necessary attention to detail.

2. Poor expressions. No matter how steadfast your writing follows grammatical rules, if you don’t express your ideas well, it just won’t work. Poorly expressed thoughts can lead to misinformation and serious misunderstandings. Can you imagine ever a starting a business project with both parties having completely different ideas about it?

In my opinion, you should care about English writing errors. Can you or your organization really afford the damaged reputation poor writing will earn you and the potential consequences of ill-communicated ideas?

What style are you most comfortable writing at? Some people are just naturals at expressive writing, churning out personal and informal words that communicate to readers like a friend sharing a thought that’s floating around their mind. Others, on the other hand, may write better using communicative writing, where the focus is in imparting knowledge to the reader.

Expressive writing is very effective when employed in informal materials, especially those geared primarily towards entertainment. Take a gander at many popular magazines, for instance, and you’ll find the style commonly employed. In fact, a lot of expressive writing can be so unconstrained that you can get away with ignoring feedback from your English grammar software without harming the overall piece.

In contrast, communicative writing is the default format for informational copy. Instead of loose and informal, the style is analytic and much less personal. Good communicative writing adheres to many established conventions, including the proper tone, presentation and citation. The actual rules for each piece of communication writing will depend on what it tries to achieve. For instance, writing standards for science reporting can vary greatly from that for legal briefs.

Mixing Them Up

While it’s perfectly fine to write in either form, depending on the medium, some types of writing will require you to combine both. A financial magazine, for instance, that wants to keep readers entertained will want to combine the analytical qualities of communicative writing with the personable quality of expressive pieces.

It’s not easy to put them together. More likely than not, it will take a bit of rewriting multiple times, along with the employment of every ounce of creativity you can muster. With practice, though, you should be able to make it.

When writing long business documents, especially ones filled with charts and tables, it’s very convenient to cross-reference information while you’re writing. Instead of detailing the facts of a situation again, many simply point the reader to a previous reference to it.

Takes this paragraph, for example:

The device comes with a built-in worldwide 3D map (for the details of the design, refer to the appendix at the end) complete with functionalities that come in accordance with technical standards as set forward in provision 11.4.

On the surface, cross-referencing may seem like an efficient technique, one that even an English writing software will probably let by. Why bother writing something multiple times when you can just point to it, right? In practice, however, especially for long documents, it’s painful to read.

I blame the school system. When I was going to high school, good term papers always used cross-referencing to pontificate facts. While making the writing seem formal, it was a bad habit that is wholly disastrous when excessively indulged in.

As a rule, cross referencing may be acceptable when you’re referring to items that cannot be described in a single sentence. Good examples include complex references, such as charts, tables and graphs. If the reader only needs to know a small segment of the information, though, such as a couple of statistics from the chart, it’s usually best to state it directly.

If retyping a couple of sentences will effectively convey what the cross-reference does, always choose to just do it. Keeping it to a bare minimum is a must if you want people to actually pay attention to what you’ve written.

Anytime you write, you’re communicating something. All communications have a purpose. Whether your writing is designed to instruct, argue or educate, you’re usually writing it with an underlying tone.

Subcommunication

Often called subcommunication, this refers to a deeper purpose behind your writing. While you may be writing an instructional piece, your attitude about what you write will shine through in the overall tone that the reader gleans from it. If you are passionate about the subject, they’ll often feel it. Should you not care, the apathy will seep through. Even if you put it through the best English writing software you can find, the underlying communication remains.

Three Types

Most people subcommunicate one of three things when they’re writing.

1. Do no damage. When people don’t care about what they write, it can feel like what you’re reading is just going through the motions. Deep in the writing, you can sense an inner desire not to rock the boat. Instead, the encompassing goal appears to be to just write the words and express the surface intention.

2. Get the reader to care. When a writer is passionate about a topic, there’s an underlying tone that tries hard to get the reader to care, almost like it’s pleading for compassion. Done well, these pieces will allow the reader to share in the emotions that the author feels.

3. Change the reader. The best writing goes beyond making you care and crosses over into the realm of compelling you to change. When poring through its words, you can feel transported, compelling you to look at the world in a different way.

Your Writing

When you write, you’re usually clear about what you’re communicating. Deep down, though, what’s your real message?

One of my pet peeves when exchanging business emails is the propensity of most people to use the same email thread to discuss things unrelated to the original topic.

For instance, I recently had an email communication with a client about an order for certain pieces of content for three of their websites. We exchanged communication on the same thread over the course of two weeks, finally commencing with final acceptance of the pieces. Five days ago, he emailed me back on the same thread as last time for a different project. What I did in my reply is to delete the previous topic, keep his current request and change the title of the email so it all makes cohesive sense.

That’s not even the worst of it.

While working for in the corporate world, I’ve often come across business emails where discussion of a subject is sent to several recipients. It’s normal to have a few of them respond. However, it’s really irritating when their response on the same thread has absolutely nothing to do with the topic and is instead a communication directed to just one or two people who are part of the recipients.

Not only does it muddle the email, it wastes plenty of people’s time – even if you employ the help of the best English software to compose it. Filing the email becomes a pain and reviewing the thread in case you need to find information on the topic can drive you nuts. If you feel the urge to discuss a different topic, start another email, instead of piling it on with the current conversation.

When a person, product or a service has truly made even a small difference in your life, it’s only fitting that you show your appreciation for them. It feels good to be appreciated. For individuals, such an acknowledgement can prove a real boost to the spirit. For businesses, it lets them know they’re on the right track.

Letters of appreciation need not be formal nor well-written. In fact, more than a few folks I know type up a simple “Thank you” with a few kind words to show their gratitude. However, well-written words of thankfulness can show how much you value the communication and how much care went into preparing the letter.

Be Personal

Make letters of appreciation feel personal. Don’t copy-and-paste a sample letter off the internet and skip using the templates from your English writing software. Instead, construct one with genuine gratitude. It will show.

Tell Them Why

While a simple “Thank you for everything” is all well and good, it’s infinitely better to tell them the reasons that you are thankful. It lets people take pride in the things they do knowing others appreciate those actions specifically.

Be Direct

No need to get flowery with your words. A direct letter teeming with gratitude is a pleasure enough on its own.

Be Sincere

Never try to use a letter of appreciation to get at a hidden agenda. Any letter that starts with thankful words and praise that end with favors at the end just feel sleazy.

Business reports are unlike many pieces of writing. Intended to be read by people interested in the bottom-line, they are best composed with ideas expressed straight and to the point. Most of the time, any creative constructs merely distract from the important details.

Purpose

The most important part of any business report is its intended purpose. Is it aimed at educating the stockholders about the company’s current standing? Is the goal to clarify the technical details of a project to the more senior staff members in a way that they can appreciate?

Resolve the purpose of your business report and work on it from there.

Facts

A business report thrives on facts. As such, you will need to organize your data and put all your information in order. Clear and unambiguous presentation of the details is key – spend the most time on it.

Form and Structure

Due to its straightforward quality and lack of creative requirements, writing a business report usually doesn’t necessitate a strong grasp of the English language. The fact that mastery isn’t required, however, doesn’t give you permission to turn it into a mess of grammar and spelling.

To ensure that your report exhibits at least a modicum of professionalism, always run it through a capable English writing software. With the help of a polished grammar correction tool, you’ll guarantee that your report will be read for its content, without the structure ever getting in the way.

Writing a business report is actually quite straightforward. Before you even start writing careful consideration has to be given to the purpose of the report, i.e. why has it been requested or why is it expected? What kind of information is it supposed to convey? How long is it expected to be?

Always ensure that you make a business report factual. Do not make claims that are not true and only state something which you can back up with facts. For example, if sales figures were up by 75% then you can boast that they were excellent. But if they were only up by 5% then be honest and say so. You may want to include some reasons why the figure is disappointing, but always be honest.

The best reports are those which cover the good and the bad news. So even if the report is basically a good news story it is also helpful to look at any potential threats to the business and so help prepare a strategy to make sure that the business is prepared and therefore much better protected.

Ensure that any business report is also correct in terms of grammar as well as using proper punctuation. Any glaring errors will simply make the report look as if it was not written by a professional and the message which the report should be conveying may be confused and muddled. A good grammar and punctuation check, as well as a final proofread and edit will be well worth the time taken since they will help polish your report into a first class document.
